A local outreach list starts with a practical question: which real estate professionals could use what you offer, in a market you can support?

For a photographer, that might mean introducing a listing photo service near their studio. For a software company, it might mean testing an offer with agents in one county before expanding. The useful list is the one that connects a defined audience, a relevant offer, and a manageable first campaign.

To build a realtor list by ZIP code or county, choose the geography, require the contact channel you intend to use, review the matches, and select your download fields. Then remove existing relationships and opt-outs before starting outreach.

Here is that workflow in USAgentLeads real estate agent search, including the decisions to make before you purchase. For other sourcing methods, see the broader guide to building a realtor email list.

1 Define your offer and local audience

Write a one-sentence campaign brief before searching:

We want to introduce our listing photography service to agents in one local market, using email to start conversations about upcoming shoots.

We will use this fictional photography studio throughout the guide. Its brief gives the search a purpose and the outreach a relevant offer.

Choose individual agents when your offer is intended for an agent to evaluate. If you sell an office training program or a service purchased across a brokerage, start with brokerage search instead. A business contact record still needs research to identify the appropriate person.

Set a follow-up capacity, too. A solo operator who can thoughtfully review and follow up with 30 prospects has a different starting point from a team with dedicated sales staff. Use that capacity to plan the pilot rather than treating every available record as an immediate sending target.

2 Choose a county or ZIP code that fits the test

A county gives you a broader starting territory. A ZIP code can help you test a smaller location before committing to county-wide outreach.

For the fictional studio, imagine comparing a Wake County, North Carolina search with a separate search for ZIP 27609. The county search explores a broader set of records; the ZIP search creates a more focused location test. Read the live results for each search rather than assuming either will contain enough contacts for your plan.

In the location box, type the county name or a five-digit ZIP code and select the matching suggestion. Check the state when county names repeat. The search also supports state and city locations; choosing another location replaces the previous location selection.

If you need several ZIP codes, run separate searches and combine the exports afterward. Keep a note of each selection so you can identify overlap during cleanup.

A location match needs interpretation

A location filter matches the location recorded in the data snapshot. It does not establish every neighborhood an agent serves, their sales territory, or their recent transaction activity. Check the agent's current business information before making a specific local claim in your message.

3 Require the contact fields your campaign needs

Open Advanced filters and use Every record must include to require email for an email campaign. Available requirements are phone, email, street address, and license. Requiring both email and phone limits the results to records with both fields populated, which may reduce your audience unnecessarily if you only plan to email.

You can also narrow agent results with Brokerage name contains or Active license status only. Use a brokerage filter when affiliation matters to your offer. The license filter reflects the status recorded in the snapshot; check the relevant licensing authority when current status matters.

Keep the fictional studio's first search simple: one location and email required. Add a brokerage condition only if the studio has a specific reason to approach that organization.

A populated field is a starting point for contact research. USAgentLeads syntax-checks emails and format-checks phone numbers; those checks do not confirm delivery or that someone will answer.

4 Read the match count and masked preview

The results show the total number of matches and how many have each field available. Compare the counts for fields you need, such as email, brokerage, and ZIP code. A large match count can still have gaps in optional information.

Inspect the first ten masked records, or all records if fewer than ten match. The preview follows delivery order, with records containing both phone and email first. Check whether the visible geography and brokerage information fit the campaign you intended to build.

The preview helps you inspect the selection's structure and coverage. It cannot establish delivery quality across the whole list. The separate free 500-contact sample contains package data; it is not a custom sample of whichever county or ZIP you selected.

If results are too narrow, change one condition at a time. Try the county instead of the ZIP, or remove an optional brokerage restriction. Keep the required email condition if email is essential to your campaign.

5 Select your quantity and download columns

In Make it your list, set the number of records you want and choose the contact fields to include. These are separate decisions from your search filters:

  • A required field determines which records qualify for the search.
  • A selected export field determines which columns appear in your purchased CSV.

Requiring email does not replace selecting email in the order panel. Similarly, filtering by ZIP does not automatically include the ZIP column in your download.

Name and state are included free. Optional fields are email, phone, street address, license, brokerage, city, ZIP code, and county. The fictional studio might choose email for contact, brokerage for context, and ZIP code to organize its local campaign. It can leave phone unselected if it has no planned phone workflow.

Review the live quote after changing either quantity or fields. It charges for filled values in the selected records; blank values are free. Volume rates and any applicable pack-based cap appear in the quote. The total must reach $19 before checkout. This is a minimum purchase threshold, rather than an automatic charge applied to every smaller selection.

If your quote is below the minimum, add useful records or fields, or reconsider whether this purchase fits your pilot. For broad coverage, compare realtor database pricing and review any cheaper package suggested by the quote. Compare the included data as well as the price, since package and custom selections can differ.

After payment, the list is prepared for CSV download and the download link is sent by email. Larger exports may take longer and arrive in a ZIP archive.

6 Prepare the CSV before importing it

Keep an untouched copy of the download and work from a duplicate. Add a campaign label, search location, and download date so your team can trace how the working list was built. Retain any source attribution columns delivered with location data; see the data sourcing methodology for context.

Use this cleanup sequence:

  1. Preserve ZIP codes as text. Spreadsheet software can remove leading zeros. Import the ZIP column as text before saving another CSV.
  2. Find duplicate contact values. Compare trimmed, lowercase email addresses. Review shared office inboxes and repeated people before merging records; matching names alone are insufficient.
  3. Remove overlapping relationships. Match against existing customers, current conversations, previous opt-outs, and other suppression records. Combine separate ZIP exports before this step so the same contact does not enter multiple campaigns.
  4. Validate the intended channel. Review addresses for obvious problems and use an appropriate email verification process before sending. Verification does not establish consent or guarantee inbox placement.
  5. Map a small import first. Check names, email, brokerage, and location in your CRM before loading the remaining rows. Keep imported prospects out of automatic campaigns until the review is complete.

Check your CRM and sending platform's requirements for imported contacts, including any permission requirements, and provide a working way to opt out. An available contact record does not establish permission to send every kind of message.

7 Run a pilot you can evaluate

Use a small, reviewed segment for the first campaign. Keep its audience and offer consistent so the results are interpretable. If the county and ZIP selections overlap, assign each contact to one test rather than contacting them twice.

For the fictional photographer, a short introduction could explain the service area and link to a relevant portfolio, then ask whether the recipient handles photography bookings. Make specific references only after checking them. A ZIP match alone is not a reason to claim you saw the agent's nearby listings.

Record delivered messages, bounces, replies, qualified conversations, bookings, and opt-outs. Track why people decline: “outside your service area” suggests a targeting issue, while “we already have a photographer” tells you something different about the offer. Review those signals before increasing volume. The agent outreach campaign planner can help you plan the workload.

Common questions about local realtor lists

Can I build a realtor outreach list for one ZIP code?

Yes. Enter a five-digit ZIP code in agent search and choose the matching location suggestion. Review the results and available fields before choosing your quantity and export columns. A ZIP match describes the location recorded in the snapshot, not every area an agent serves.

Does filtering by county or ZIP include those columns in my download?

No. The filter determines which records match. County and ZIP code are optional paid export fields selected separately in the order panel. Name and state are included free.

What is the minimum custom list order?

Your quote must reach $19 before checkout. It counts filled values in the fields and records you select. If it falls below that threshold, add useful records or fields, or reconsider the campaign scope.

Start your local agent search with one territory and one required channel. Review the preview, choose the fields your workflow needs, and use the first campaign to decide what to change next.
